Booking a Hotel
1. How do I make a reservation online with ViaggiareinRussia.com?
ViaggiareinRussia.com allows you to book a hotel very easily. Start by browsing our hotel search engine for available choices. Once you have located a hotel you like, submit your reservation by filling out our booking form.
2. How can I check hotel availability?
When browsing our database, you will find a status button located next to each hotel name. If the button is BLUE, it means that there are rooms available and we need to send the reservation request to the hotel and request confirmation. If button is ORANGE, it means that the hotel has stopped sale of rooms.
3. When I search for a hotel, all hotels are shown as unavailable. What do I do?
The hotel is fully booked for at least one of the dates you selected. This usually occurs during peak season or special events eg. New Years Eve, local festivals or conventions.
4. Can I make a reservation directly to the hotel of my choice?
Yes you can. However, rates quoted on ViaggiareinRussia.com are at heavily discounted prices available exclusively through our reservation system. Expect to pay up to 50% more if you book directly with the hotel.
5. What if I need more than 1 room?
ViaggiareinRussia.com system processes one room per booking request only. If you need more than one room, please repeat the process for each reservation. If you need five rooms or more, please click on the group reservations link and we will process your reservation manually for maximum savings.
6. Do I need to include breakfast in my booking if the room booked includes breakfast?
If the room type that you book is, for example, "Standard Room including Breakfast", breakfasts do not need to be added to the Itinerary. If it states that it includes breakfasts for up to 2 guests, and there are more than 2 guests staying, you will need to add any extra breakfasts to the Itinerary if required.
7. What if my child is traveling with me?
When you book a hotel, you will be asked how many children are traveling with you. You will be offered hotel rooms accommodating the requested number of children and adults. Every child over the age of 12 is considered an adult unless otherwise specified.
Hotel Prices
1. Is the room rate per person or per night?
All quoted room rates are per room per night, unless specified otherwise. The rates are not applicable during New Year Eve and other special events and are subject to change. The price is guaranteed upon receipt of final payment. All rates quoted are as per this website.
2. Are taxes included in the rate?
Yes. All taxes and charges are INCLUSIVE in the room rate.
3. Is breakfast included in the rate?
Many hotels include a buffet or continental breakfast as part of their room rates, while others offer it as a separate service. This information can be found on the hotel's web page in the Prices section.
4. Why is price different to when I last checked?
Apart from changes that may be made to reflect market conditions, the prices are shown in the currency requested by the user and these are subject to currency fluctuations. Therefore there may be slight variations in price on a daily basis that will reflect any movement in the currency exchange levels. Once a booking has been created however, the currency exchange rate for that booking is fixed as those at the booking creation date, even if further items are added to the booking. Most importantly, the prices include service charges, local taxes and in many cases breakfast.
Having Sent Your Request
1. How do I know that my reservation request went through?
Within minutes of submitting your request, we will send you an e-mail notifying you that we have started processing your reservation. If you do not get an e-mail within the next hour, it may be due to the fact that your e-mail address was typed in incorrectly. Please go back to the site and send an e-mail to customer service in order to correct the mistake.
2. I have submitted my order and payment details – what happens next?
Once you submit your reservation form and credit card information, your accommodation request will be processed as quickly as possible. If the hotel you chose is available for the dates you specified, your booking will be finalized and your credit card will be charged. We will send confirmation of your reservation and payment by e-mail, mentioned in your order form. If the hotel is not available, we will contact you with a suitable alternative and no payment will be incurred.
3. How long will it take ViaggiareinRussia.com to book my room?
Immediately upon receiving your reservation request we will proceed with your reservation. You will receive a booking confirmation by the next business day. We shall make our best to confirm your reservation on time, however occasionally we might be unable to finalise your request within this time limit. Some of the reasons for delays in replying include special hotels’ reservation procedures, public holidays and time zone differences.
4. What happens if the hotel room that I have requested is not available?
If your first choice hotel is not available, we will offer you an accommodation of the same standard, in the same area and for the same period. You can then confirm your request or cancel it.
5. How can I amend or cancel my booking?
You have an option of changing your reservation up to 5 business days before your check-in date. You may also cancel your reservation at any time, however, if you cancel your hotel stay less than 5 business days prior to your check-in date, the hotel keeps the cost of the first night's stay and we will credit the balance to your card. Should you wish to amend or cancel your existing booking, please use our View/Amend/Cancel Your Booking form. You can also email our Customer Service representatives mentioning your Booking ID and one of us will get back to you with a response as quickly as possible.
6. How do I use My Account?
To access the details of any of your bookings please click on the My Account link in the e-mail confirming your booking request and follow simple instructions. Please note that all amendment requests are subject to availability and that charges may be applied for decreasing the number of rooms or nights. Please refer to our Booking Terms for full details.
Payment
1. Why do I have to include my credit card number?
To allow us to proceed with your request, we require you to submit your credit card details. Your credit card information is strictly confidential. Please note, we request your credit card details as a form of security only. It will not be charged until the booking is confirmed by the hotel.
2. Do I have to send my credit card details online?
We encourage all our clients to submit their credit card information via our secure online credit card form. This makes it easier for us to process your booking requests quicker and more efficiently. However, you also have an option to fax your credit card details. When you come to the payment stage of the booking process, simply choose the option "I want to send my credit card details by fax", fill in your details, print it and send it to us on one of the fax numbers provided.
3. When will I be charged?
We will not charge your credit card for the hotel room until your booking is confirmed by the hotel you have chosen.
4. Which credit cards do you accept?
The cards we accept are: Visa, MasterCard, American Express, Diners Club, JSB.
5. In what currency will I be charged?
The transaction may be charged in a different currency to the one in which your booking rates were quoted. The cost of your booking is converted using our bank's exchange rates on the day of the transaction. However, it will exactly correspond to the hotel price shown on the site and your booking confirmation.
6. I don’t have a credit card, can I pay cash on arrival?
We do not accept payment by cash on arrival at the hotel. You may either pay with your credit card through our secure web interface or by fax, or pay by bank transfer. Please note that your order will only be processed after we confirm receipt of your full payment on our bank account.
7. How much will I be charged if I cancel my booking?
You can cancel your reservation at any time. However, if you cancel your hotel stay less than 5 business days prior to your check-in date, the hotel keeps the cost of the first night's stay and we will credit the balance to your card.
8. What happens if I need a refund?
Any refund due will be credited directly to the credit/debit card that was used to pay for the booking.
9. Is my credit card information safe and secure?
Securing the safe use of your credit card data is of foremost concern to ViaggiareinRussia.com. That is why we encourage all our customers to use the online reservation form. Our security reservation form uses SSL (Secure Socket Layer) technology to protect the privacy and security of your personal information. The well-established and field-proven SSL technology encrypts the information that you have submitted. This encrypted data remains unreadable during its transition until it reaches the security of our server.
10. Can I use a credit card with an international billing address?
Yes, if you have a credit/debit card with an international billing address, you can use it to book a hotel. The address you enter at the payment stage needs to exactly match the credit/debit card billing address.
Booking Confirmation
1. How do I check on my booking for a hotel?
As soon as we receive your Reservation Form with your booking request, you will be sent an email letting you know we have received your request. You can then email our Customer Service representatives mentioning your Booking ID and one of us will get back to you with a response as quickly as possible.
2. How do I know that I have a CONFIRMED hotel reservation?
Once the room is confirmed, we will send you by e-mail a confirmation voucher with the reservation and price details and a confirmation number. We suggest that you to make printout of this voucher and present it at the time of your check-in.
3. Do I need to confirm my booking with the hotel directly?
No. The booking confirmation printed from the ViaggiareinRussia.com site is all you need.
4. Where can I find contact details for a hotel?
The hotel's street address, phone and fax numbers are shown on the hotel's information page. There you will also find some location information of the hotel, including distance to major airports, train stations, river and sea terminals. Once a booking has been confirmed, we issue the Confirmation/Accommodation Voucher, which also states all the hotel's contact details.
5. What is the Confirmation Voucher?
This is confirmation of your hotel confirmation and your payment to us. Once your request is confirmed we will send you an email with a link to your Voucher. Please print out a copy and keep this document safe. You will have to present it at the hotel during check-in procedures. Should you lose or damage the voucher, please re-visit the link and print another copy of the Voucher. If you have any further problems you must contact us immediately and we will assist you.
6. I have lost my Voucher, what do I do?
To get another copy of your voucher, please go to our View/Amend/Cancel Your Booking form. Once you enter your Booking ID and the email address used when making the booking, you will be able to access a page where you can print another copy of your voucher. If you have lost your booking ID, please contact us through our Online Contact Form and we will resend it.
Customer Service
1. Will ViaggiareinRussia.com keep my personal information private?
We take the issues of privacy and security very seriously and never share your personal information with any third parties. We do not bombard you with e-mails on special hotel deals or other updates. We trust that you will benefit from our service and come back to ViaggiareinRussia.com should you come to Russia again. For peace of mind, please refer to our extensive privacy statement.
2. What happens if there’s a problem with the hotel when I arrive?
In this unlikely event, we will provide you with the local phone number where you can ask for assistance. The first step is to contact the Reception desk at the Hotel, to see if the matter can be settled directly. If you continue to have problems that require our attention and cannot be solved by you at the hotel, please contact our customer service office as soon as possible.
